Position: Project Coordinator, Event Management & Marketing

Hoopla Marketing, Events, & Public Relations is a full-service marketing, public relations, and special event production company that has been in operation in the Philadelphia region for more than a decade.

From city-wide festivals to large-scale non-profit events to corporate bashes, the Hoopla Team manages production, strategy, promotion, and day- of logistics events and marketing campaigns throughout the Greater Philadelphia Region. In addition, our expertise in media relations translates to successful campaigns utilizing a bit of Hoopla, so to speak.

Job Overview

We are seeking a Project Coordinator to join our team and support both the Director of Event Management and the Principal & Marketing Director. The ideal candidate will have a background in project management, event coordination, marketing and social media experience, as well as administrative abilities such as scheduling meetings, set-up zoom conference calls and taking minutes. Strong communication skills and ability to work within a fast-paced team environment are a must.

Key Responsibilities:

 Event Coordination:

  • Project management - assist with keeping team organized, managing systems and / or event management programs and processes such as but not limited to: Canva, Google Workspace/Drive, EventHub, PayPal, Stripe, Square, Jot Form, Ticket Leap, Eventbrite, Microsoft Office.
  • Set up meetings with clients in person and virtual. 
  • Prepare Meeting Agendas for client meetings as needed and send out post-meeting notes.
  • Assist with vendor communications for all events.
  • Vendor outreach – Recruiting and managing event participants.
    (Food trucks and booths at client festivals).
  • Secure festival entertainment such as musicians, dancers, and / or any entertainment specific to that event.
  • Act as liaison with festival vendors and sponsors.
  • Assist with ordering promotional items for all events.
  • Assist Director of Event Management with permit applications & work with City of Philadelphia/City Services Departments.
  • Assist with event documents; specifically, the event contact list, site maps and Run of Show (ROS).

Preferred Qualifications:

  • Experience managing various ticketing and vendor platforms. 
  • Familiarity with social media marketing and partnerships.
  • Graphic design skills are a plus.
